Shipments
Delivery status
Track purchased labels until delivered — Shipping Labels, with a per-carrier opt-in.
Intro
Delivery Status Tracking polls the carrier track API for labels you bought in ShipManta and shows the result on Shipping Labels. It is separate from Carrier Claims (late money-back credits). Tracking is off per carrier until you turn it on.
Purpose
- See pre-transit → in transit → out for delivery → delivered (or exception / returned) in one list
- Refresh one label or sync a batch without opening the carrier site
- Stop polling once a label is delivered or returned so API quota is not wasted
Turn it on
- Confirm the plan includes Delivery Status Tracking (Pro and Enterprise). On Basic, Shipping Labels shows an Upgrade badge.
- Open Integration → Carriers → the account → Settings.
- For FedEx, open Edit Carrier and paste Track API Key / Track API Secret from a separate Track / Basic Integrated Visibility project (Ship keys stay on API Key / Secret). The edit form shows the last four characters of each saved key — full secrets are never shown again.
- Turn on Track delivery status in Settings and save. Default is off for every account.
- Open Shipping Labels in the Shipments sidebar (after Customers Shipments). Use Filter or column filters, Sync now for a daytime batch, or the refresh icon on a row.
The scheduled job runs every 30 minutes between 05:00 and 21:00 (same window as Carrier Claims auto-scan). It looks back 30 days, only on carriers with tracking on, and skips labels that are already delivered or returned (batch size 100 per run).
What the Labels page shows
| Column | Meaning |
|---|---|
| Shipment | Link to the shipment that owns the label |
| Tracking | Carrier tracking number (opens the carrier’s public track page) |
| Delivery address | Ship-to name and street / city from the shipment |
| Carrier / Service | Account and service used when the label was bought (carrier name opens that account’s configuration) |
| Delivery status | Normalized status (and last location when the carrier returns one). FedEx and UPS status codes/phrases map to Pre-transit / In transit / Out for delivery / Delivered / Exception / Returned. Track failures show a red badge with an info icon; Unknown shows an info icon with the carrier’s raw status text |
| Promised / Delivered | Carrier scheduled/commit time and actual delivery, in the store timezone. UPS returns the day (SDD / RDD) and the clock (CMT etc.) separately — ShipManta combines them so the time matches ups.com (not midnight UTC shifted into yesterday evening). When the carrier only gives a day (end of day), Promised shows that date at local midnight |
| Cost / Shipped | Label cost and ship date |
Use Columns in the toolbar to show or hide any of these (choice is remembered in this browser). Filters: search (tracking or shipment #), carrier, delivery status (including Not tracked yet), and active vs all / cancelled labels.
Who can use it
- Plan: Pro and Enterprise. Basic sees Upgrade on the Labels nav item.
- Permissions: Anyone who can open Shipments (fulfill) can use the Labels page and Sync / refresh. Carrier Settings still need the usual carrier manage permission.

Troubleshooting
| Symptom | Check |
|---|---|
| Labels menu says Upgrade | Plan is Basic — Delivery Status Tracking starts on Pro |
| Status stays Not tracked | Track delivery status on for that carrier? Sync now? Label older than 30 days or already cancelled? |
| Refresh button disabled | Tracking is off for that carrier account |
| Red status badge with an info icon | Click the icon for the carrier’s error message. Usually a credential or Track API problem — re-authorize under Integration → Carriers (FedEx may need separate Track keys on Edit Carrier) |
| “Could not authorize your credentials” (FedEx) or similar auth on track | Create a FedEx Track / Basic Integrated Visibility project (cannot share a Ship project), paste Track API Key/Secret on Edit Carrier, then Sync again. Ship-only keys cannot track |
| UPS “Invalid Authentication Information (UPS 250002)” on one account while another UPS account tracks fine | UPS uses one app for Ship + Track — no separate keys. ShipManta retries once with a fresh token; if it still fails, that account's UPS Developer app is missing the Tracking product, or its Client ID / Secret changed. Enable Tracking on the app and re-enter the keys on Edit Carrier |
| Promised shows the previous evening (e.g. 8:00 PM) while UPS says tomorrow afternoon | That was a date-only parse bug (UTC midnight → store timezone). Deploy the UPS track date+time fix and Sync / wait for the next poll — existing labels correct themselves on re-track |
| Wanted late refunds | Use Carrier Claims — this page only shows delivery progress |
